How to modify or cancel your Bhutan trip, what fees may apply, and how refunds work.

How it works

Shar Voyage coordinates changes and cancellations with the licensed Bhutan operators who fulfill your services. Each operator sets their own timelines and fees; we’ll advocate for you and provide clear options before you confirm any change.

  • Change requests: date shifts, hotel class, itinerary tweaks, traveler count.
  • Cancellation requests: partial or full trip cancellation prior to arrival.
  • Refunds: processed according to the operator’s policy and the original payment method.

Typical timelines

Exact terms appear on your quote/invoice, but many partners follow ranges like these:

Change fees

Most date or itinerary changes are possible if space is available. Partners may charge a modest change fee and pass through any supplier price differences. If a change reduces the trip cost, the difference may be refunded according to the policy above.

  • Price differences (seasonality, hotel availability) may apply.
  • Name changes may be limited for permits or flights.
  • We’ll confirm all costs in writing before proceeding.

Requesting a change or cancellation

  1. Email info@sharvoyage.com or use the contact form.
  2. Include your invoice number, traveler names, and the requested change/cancellation.
  3. We’ll check availability and policies with the operator and reply with options.
  4. Once you approve in writing, we finalize the change and send an updated invoice or refund confirmation.

Refunds

When eligible, refunds are returned to the original payment method (card, ACH/wire, etc.). Processing times:

  • Card refunds: typically 5–10 business days after approval
  • Bank transfers: 5–10 business days (bank timelines may vary)
  • We’ll email a receipt once the refund is issued

No-shows & last-minute issues

If you miss a day or arrive late, services may be forfeited per supplier policy. Contact us and your operator immediately—we’ll help recover what we can.

Flights: Airline tickets bought outside Shar Voyage are subject to that carrier’s rules. Contact the airline or booking site directly for flight changes.

Force majeure

Events outside anyone’s reasonable control (e.g., severe weather, government actions) may affect services. Operators will propose reasonable alternatives where possible; additional costs may apply. See our Booking Conditions for details.

Visas, permits & SDF

Government fees (including SDF), permits, and visas are set by authorities and may be non-refundable once issued. We’ll always advise the best options before you proceed.

Travel insurance

We strongly recommend travel insurance that covers medical, evacuation, delays, and trip interruption/cancellation. It’s the best protection against unexpected events.

FAQ

Can I move my dates without penalties?

Often yes—if space is available. Partners may charge a small change fee and pass through any price differences (e.g., seasonal rates). We’ll confirm the total before you approve.

What if my flight is delayed or canceled?

Contact your airline first to rebook the flight, then notify your guide/operator and Shar Voyage. We’ll help adjust the itinerary where possible. Some services may be non-refundable if unused.

Are festival trips stricter?

Yes. Popular festival periods can have tighter cancellation/change rules. We’ll provide the specific terms on your quote and invoice.

How long do refunds take?

Card refunds typically post within 5–10 business days after approval. Bank transfers can take a similar timeframe depending on your bank.

Can I substitute a traveler?

Sometimes—name changes may be limited for permits or flights. Tell us as early as possible so we can check feasibility.

Is travel insurance required?

It isn’t required for all trips, but it’s strongly recommended. Insurance can protect against delays, medical issues, and cancellations outside anyone’s control.
